Program Coordinator, Alliance for Securing Democracy; Technology and Geopolitics

The Alliance for Securing Democracy at GMF, a nonpartisan, transatlantic initiative, develops comprehensive strategies for government, the private sector, and civil society to defend against, deter, and raise the costs on autocratic efforts to undermine democracy and democratic institutions. ASD works to publicly document and expose these actors’ efforts to subvert democracy in the United States, in Europe, and around the world.

Job Summary:

As a core member of the Technology and Geopolitics Team within ASD at GMF, the Program Coordinator will drive major operational components of the Team’s agenda, from study tours to task forces, and conduct essential outreach and administrative activities. Reporting directly to the Team Lead, this is a fast-paced role for a self-starter interested in coordinating the activities of an ambitious and growing team. Specifically, this role will be in charge of the day-to-day logistics of the team’s programming in both its China technology competition and AI and democracy workstreams, including scheduling, financial and funding reporting, database maintenance, research and mapping exercises, data collection, contracting, correspondence and social media drafting, and event planning and coordination. For a highly competent individual adept at juggling multiple duties without dropping any balls, there is opportunity to take on increasing responsibility in the team.

Candidates should be exceptionally organized, with strong attention to detail, and be able to work independently with minimal guidance at times and complete tasks quickly without sacrificing quality and accuracy.

Essential Duties/Responsibilities (in order of importance):

  • Handle operational and administrative duties for the team, including scheduling all internal and external meetings, conducting mapping exercises, drafting correspondence, providing input to external-facing materials, and facilitating outreach to external partners and stakeholders
  • Lead logistical support, develop invitations and materials, and serve as the operational point of contact for public events, study tours, and expert convenings in Washington, DC, abroad, or virtually
  • Draft briefing materials, social media posts, and blog posts and format research reports
  • Support fundraising and financial management, including by managing budgetary information, maintaining stakeholder relationship data, liaising with donors and partners, and drafting grant reports and proposals
  • Interface with GMF information management systems for donor relationship management, email distributions, invoicing, report formatting, file storage, virtual meetings, and other administrative functions
  • Monitor relevant US-EU-China emerging technology issues, developments, and policy processes
  • Assist the Technology and Geopolitics Team with other projects, as requested

Knowledge and Skills Needed:

  • Minimum two years of prior work experience, preferably in a think tank, Congressional/public sector, or non-profit setting, with administrative experience
  • Exceptional organizational habits and management skills, with superb attention to detail and an ability to meet multiple deadlines and play a central role in the operation of a small and growing team
  • Demonstrable interest or background in technology, democracy, and authoritarianism, as well as a familiarity w/ ASD at GMF’s work analyzing autocratic efforts involving emerging technology
  • Strong computer and database management skills, including experience with Microsoft products and a demonstrable interest in building deep knowledge of GMF systems such as Dynamics, Concept, NetSuite, InDesign, OneDrive, Outlook, Teams, Zoom, and others
  • Excellent writing, speaking, and editing skills in English

Education:

  • Bachelor’s degree in a relevant field

Salary: $43,240 - $54,050
