GMF Warsaw Office Trainee

Job Summary: The German Marshall Fund of the United States is looking for a highly motivated Trainee (full time) for its office in Warsaw, Poland for 3 months, paid traineeship, starting July 1st, 2022.

The remuneration for this position is 4,000.00 PLN/gross per month. GMF offers a possibility of the contract extension at the level of Program Assistant upon successful completion of the traineeship.

The Trainee will report to Office Manager and will assist with managing GMF’s Warsaw programs with a variety of administrative, convening and research activities that foster transatlantic cooperation related to the region. The Trainee will be responsible to manage scheduling for the Director and Deputy Director by responding to RSVPs, booking flights/hotels and making sure the calendars are up to date.

The Trainee will also provide support for some of the programmatic functions of the Warsaw office, including research, event management and database management. This position involves working in an intensive and highly entrepreneurial environment that requires both individual initiative and close cooperation with the GMF staff in the Warsaw office and in other European GMF offices.

Candidates are required to have a valid EU work permit in order to be considered for this position.

Key Areas of Responsibility:

The Trainee will:

  • Conduct research and analysis on transatlantic relations, European politics, Central and Eastern Europe etc.; monitoring key policy developments in Poland and other CEE countries.
  • Provide administrative support to the office Director, Deputy Director and Office Manager as needed.
  • Manage the Deputy Director’s and Director’s calendars to include scheduling travel and meetings as needed.
  • Use data storage platform (Microsoft Dynamics) to perform data entry, data management, and data analysis.
  • Prepare reports from internal/external meeting, events, and conferences.
  • Support program staff in planning/implementing projects as well as in organizing virtual events, workshops and closed seminars.
  • Represent the GMF Warsaw office both internally and externally.

Qualifications and requirements:

  • Fluency in English and Polish required. Knowledge of one or more European languages highly desired.
  • Flexibility to handle diverse administrative tasks. Prior experience with managing calendars/scheduling desired but not essential.
  • Solid knowledge of office procedures.
  • Excellent organizational and planning skills.
  • Attention to detail.
  • Working knowledge of online convening platforms such as Zoom, Microsoft Teams.
  • Students of international relations or security, political science, economics, public administration or related fields preferred.
  • Prior experience in think-tanks, international organizations, or political field highly welcomed.
  • Interest in and working knowledge of European and transatlantic policy issues with Central and Eastern Europe regional dimension.
  • Excellent writing, communication, and research skills required.
  • Self-starter with the ability to meet multiple deadlines in a fast-paced, international, and team-oriented environment.
  • Time commitment of 40 hours a week.
