Deputy Director, Program Administrator, Indo Pacific

Job Summary:

The Deputy Director supports the Managing Director in managing the work and daily operations of the Indo-Pacific Program. This includes managing ongoing projects, relationships with funders, assisting with grant proposals and reporting, internal coordination within GMF, and coordination of the 9-member Indo-Pacific team. In addition, the Deputy Director will be in charge of the team’s annual budget, including personnel allocations and GMF’s related internal budget and forecasting processes. This involves working with team members on project/grant management and budget reporting and tracking as well as with Finance and Development and their respective processes. S/he also oversees the strategic coordination of the Indo-Pacific workstream convenings, including five Track 1.5 trilateral forums. The position requires daily coordination of program operations and internal and external communications and the management of donor and partner relationships. The Deputy Director manages the Europe-based Senior Program Coordinator and Program Assistant and is responsible for the training of new team members in convening and operational processes. S/he will represent the Indo-Pacific Program for various internal purposes and promote our work. Additional responsibilities in support of the program – both in Europe and DC – are a part of the position.

Essential Duties/Responsibilities (in order of importance):

  • Manage the Indo-Pacific Program’s budget administration, including participating in GMF’s annual budget processes.
  • Oversee day-to-day operations, internal and external communications of the program, including ensuring an up-to-date GMF Indo-Pacific website and social media presence. Manage the team’s Program Coordinator and Program Assistant based in Europe.
  • Liaise with other GMF teams and Europe-based offices at GMF to ensure coordination between Indo Pacific Program and finance, development, strategic convening, communications, and editorial teams.
  • Oversee the strategic coordination of the Indo-Pacific workstream convenings, including the five trilateral formats.
  • Trains new program support staff in project and event coordination, administration, and implementation.
  • Assist fellows in maintaining network of donors and partners in Europe. Strategic oversight of partner relationships and deliverables.

Additional Duties/Responsibilities (in order of importance):

  • Authorship of event summaries, program webpages, social media, and other commentary related to program work.
  • Other daily administrative duties.

Knowledge and Skills Needed:

· Excellent budget management, administration, and reporting skills with strong accuracy and attention to internal and external deadlines.

· Excellent project and event management skills with superb attention to detail and an ability to meet rapid, multiple deadlines in a fast-paced, team-orientated environment on two continents.

· Ability to exercise sound judgment and decision-making.

  • Minimum of five years of relevant work experience in the public or non-profit sector.
  • Minimum of five years project management experience, including budgets.
  • Strong leadership and management skills, including overseeing, training, and mentoring team members.
  • Fluency in written and spoken English. Knowledge of a European or Asian language a plus. Excellent writing and editorial skills with good attention to detail.
  • Good interpersonal and intercultural communication and facilitation skills.
  • Strong computer skills (MS Office programs, budget and database management) as well as capabilities to learn new platforms.
  • Interest in U.S. and European policy towards Asia as well as familiarity with transatlantic policy issues.

Education:

MA degree in political science, international relations, or another related field preferred.

Salary: $112,800 - $150,000
